The Role
As a Training Coordinator, you will manage corporate client bookings for our range of training courses. This client-focused role involves coordinating schedules, processing registrations, and ensuring smooth logistics for group and individual bookings. You'll act as the key liaison for corporate clients, ensuring professional handling of enquiries and contributing to operational efficiency without direct sales involvement.
Key Responsibilities:
- Handle corporate client enquiries and bookings for training courses via phone, email, and in-person.
- Coordinate course schedules, instructor availability, and facility resources to accommodate group bookings and custom requirements.
- Process registrations, issue confirmations, and manage delegate lists, including pre-course documentation and compliance checks.
- Liaise with corporate clients to understand training needs, arrange on-site or tailored sessions, and resolve any logistical issues.
- Maintain accurate records in the booking system or CRM, track attendance, and generate reports on booking trends for management.
- Collaborate with the training delivery and finance teams to ensure invoices, payments, and certifications are handled promptly.
- Follow up post-course for feedback, certification issuance, and future booking opportunities.
- Support quality assurance by ensuring bookings align with OPITO standards and client contracts.
Requirements
Essential:
- Proven experience in coordination, administration, or customer service roles (minimum 2 years).
- Excellent communication skills in English, with strong organizational and multitasking abilities.
- Basic knowledge of training courses or the oil & gas/maritime industry; willingness to learn course details.
- Proficiency in MS Office, CRM software, and booking systems.
- Strong client handling skills with attention to detail for managing schedules and documentation.
- Ability to work in a fast-paced environment, handling multiple bookings daily.
- For candidates with administrative background but no industry experience, full training will be provided.
Desirable:
- Multilingual skills, such as English, Hindi, Urdu, or Malayalam, to handle diverse clients.
- Experience in education administration or training center operations.
- Familiarity with COMPEX, IECEX, ECITB, CISRS, LEEA, GWO, OPITO IRATA standards or HSE training programs.
- Proactive mindset with a track record of efficient process management.
